While most organizations have policies concerning staff member absences of various sorts and may have provisions for volunteers, policy for board members can be absent.  Whenever possible, it is best to have an adopted procedure for the requesting and granting of a planned leave before it occurs.  This policy should not contradict existing policy concerning minimum attendance standards and automatic withdrawal of member status due to noncompliance with these standards. 

A leave policy can be as simple as outlining proper channels and notice for a member to make a formal request to a designated officer or committee and the procedure for establishing and acting upon an agenda item.    The process should also not be used as an end around for term limits.  Whenever possible, a member should be able to complete the majority of their term upon their return from the absence.  If the return is close to the end of a term, or is very extensive, perhaps the member should be encouraged to resign and seek re-appointment at a future date if bylaws permit an additional term of service.  Holding open board seats to accommodate return of a valued member should not compromise the maintenance of an adequate complement of engaged trustees deemed necessary for effective governance.
